This policy explains how CA Monk handles personal data across our recruitment services, public websites, and the CA Monk Talent client portal.
1. Data we collect
- Employer account data, including company name, user names, email addresses, roles, billing details, and GST information.
- Candidate data added by employers or candidates, including resumes, contact details, work history, education, skills, notes, interview status, and assessment outputs.
- Hiring workflow data, including jobs, pipelines, scorecards, tasks, documents, audit logs, and communications.
- Payment and invoice metadata processed through Razorpay and stored for billing, tax, support, and audit purposes.
- Device, usage, UTM, referrer, and security logs needed to operate, secure, and improve the service.
2. How we use data
- To provide the ATS, candidate management, AI evaluation, interview, billing, and support features.
- To authenticate users, prevent abuse, investigate errors, and protect the service.
- To send transactional emails such as OTPs, invitations, payment confirmations, onboarding messages, and product support updates.
- To improve product quality, measure funnel performance, and understand feature adoption.
- To comply with tax, accounting, legal, and regulatory requirements.
3. AI processing and recordings
The product may process resumes, job descriptions, interview answers, audio, transcripts, scorecards, and related hiring context through AI systems to produce summaries, scores, recommendations, and interview feedback. Employers are responsible for providing appropriate candidate notices and obtaining consent where required, especially for interview recording, audio processing, and automated evaluation.
4. Third-party processors
We use trusted vendors to operate the service. These may include OpenAI or Azure OpenAI for AI workflows, Azure Blob Storage for file storage, PostgreSQL/Azure for application data, Razorpay for payments, AWS SES for email delivery, and 100ms or similar providers for live interview infrastructure when enabled.
5. Storage, security, and retention
We use access controls, private file access patterns, audit logs, and operational safeguards to protect data. Data is retained while an account is active and for as long as needed for hiring records, dispute handling, tax records, backups, security, and legal compliance. No internet service can guarantee absolute security.
6. Cookies and analytics
We use essential cookies for login, security, session continuity, and billing flows. We may also use analytics and attribution cookies or local storage to understand acquisition sources and improve the product. You can control cookies through your browser, but disabling essential cookies may prevent parts of the service from working.
7. Your rights and requests
Depending on your role and applicable law, you may request access, correction, export, deletion, or restriction of personal data. Candidate requests may need to be handled by the employer that controls the hiring process. Contact us and we will route the request appropriately.
